Structured Notes

  • Desktop, mobile and web
  • All plans

What it does

Notes hold documents you read: a training plan, a current status page, meeting notes or dated reports. Memory holds context your agents need to work. A document does not need to be duplicated in both places.

Where to find it

Open Notes from the Knowledge dock, a project's actions menu, the assistant's panel, an agent's settings or a folder's Knowledge settings. On mobile, use the project action bar or Settings.

Notes opens like the Prompts, Skills and Memory libraries. The tabs at the top of the sidebar pick the notebook, with the same levels as Memory: Project, the Zone (the project folder the project is filed under, when it has one), Global (your account) and Agents (one notebook per agent of the project, chosen in a list). From the assistant: the assistant's or specialist's notebook, then Global. On mobile the tabs are Project, Global and Agents. Opening a project notebook does not include its specialists' pages.

How to use it

Each notebook has folders (chapters), tags and an optional home page. The sidebar lists All pages, the root and the folder tree: New folder, and on hover add a sub-folder, rename or delete. Deleting a folder never deletes a page: its pages and sub-folders move up one level. Search covers titles, folders and tags; the sort menu offers recent, created, A to Z, Z to A and the notebook's own order. New page files the page in the selected folder. In notebook settings, choose Contents, a particular page or the newest report in a chapter. The newest report is chosen by creation date, so editing an old report does not make it the current report.

Archiving hides a page from the active list without erasing it: the Archives row at the bottom of the sidebar lists archived pages. History holds the previous twenty revisions, which you can restore. Permanent deletion is available for archived pages and removes their history too.

Import Markdown or plain-text files, or export a notebook as Markdown with an index. Importing a GitHub file copies its contents; this is not GitHub sync.

Settings

The management instructions field tells agents how you want the notebook kept. For example: “Update the Current plan page after each coaching session. Keep completed weeks as separate dated pages.” For nightly reports: “Create a new dated page in Reports each night and show the latest report on the home page.”

These instructions govern how agents manage the notebook. They do not schedule agents: use the existing scheduled triggers for nightly runs.

Agent tools (MCP)

  • notes_list: contents, instructions and accessible scopes. Read this first.
  • notes_get: read one page and its version.
  • notes_save: create, replace, append or edit a unique passage; changes keep history.
  • notes_configure: change the instructions, chapters or home view on user request.
  • notes_history: list previous versions or read one.
  • notes_archive: archive or unarchive a page. Permanent deletion is a user action.

Agents can use their project and ancestor folders separately. Assistant notes are only exposed to assistants: specialists can read team notebooks and write their own. Agents must pass the revision of the instructions they read.

Providers

The same MCP tools work with every provider. No native provider memory is used.

Mobile

Notes are private to your account and stored on the server. The same account can read and edit them on another computer or phone, even when the desktop is off. A conflicting edit is refused and your draft stays available; saving a new page keeps both versions. Notebook contents are encrypted at rest, not end to end.

Limits

Each notebook holds up to 1,000 pages including archives. A page holds up to 200,000 characters and 20 tags. Management instructions allow 20,000 characters. The notebook is private to the account even when its project is shared. An internet connection is needed to load or save notes.

Common questions

  • Does changing an old report make it the home page? No, Latest uses creation date.
  • Are earlier reports history versions? No, each report is a separate page. History tracks edits to one page.
  • Does a project show its specialists' notes? No, choose each notebook separately.
  • Are the Notes tabs the same as Memory's? Yes: Project, Zone, Global and Agents, in that order and with the same words.
  • Can an agent overwrite my changes? Replacing a page requires its current version. Concurrent edits keep the draft for review.
